Seminar Tips

• Based on the thousands of seminar mailings Response Mail has done across the country, the following has been determined to contribute to the best possible financial seminar response. Not following these guidelines may adversely affect your results. Following our guidelines will most likely generate between 120 and 250 attendees from a 8,000 to 12,000 piece mailing. RME is not responsible for lower quantities being mailed. There is no track record for results or response rates at lower quantities.

• Make an effort to hold your seminars at Restaurants or High End Country Clubs. Hotels or convention centers make people think they will be locked in a room and sold. Adding logos of your location to the invitation adds impact and local familiarity and it may even reduce the cost of the meals when negotiating. (They are getting free advertising).

• Have the seminars on Tuesdays or Thursdays (Wednesdays are a good second choice). NEVER have a seminar on a Saturday. You must give prospects a choice of 3 separate seminar dates.

• You must provide a meal. Very few people show up just for the meals. In 8,000+ mailings, dinners have achieved a much greater response than lunches. Breakfasts, refreshments, coffee and dessert, wine and cheese, hors d’oeuvres or brunch almost always generate a disappointing response.

• Advisors must offer Dinners starting at 6:30 or 7:00 pm. Earlier times have caused disappointing results. Lunches must be combined with dinners to be effective.

• Confirm all reservations at least once, no later than 2 days before each seminar. RSVP call ins are diminished when using phone recorders to take in-bound calls. Live answer is suggested at all times. We can recommend someone.

• Follow up the next day after each seminar with the attendees who didn’t request an appointment to find out if they’re interested in meeting with you.

• Mail is delivered mostly via Bulk Mail. It typically takes 7 to 12 days to travel in the mail. We cannot control the USPS schedules. RME is NOT responsible for early or late arrivals, or mis-deliveries by the USPS. All invitations are scheduled to be in the homes approximately 10 to 12 days before the first seminar date.

• Please note that all households within your zip codes will not necessarily receive the invitations. Even though some homes or individuals may fall in your selected criteria they may not receive the mail due to the list company not being able to verify their actual demographics. This is very normal with all mailing lists nationally.

• List information is gathered from various sources and the information is inferred. Lists are not 100% accurate. You should expect a deliverability rate of 95-98%. (national standard). Asking consumers about their income level or judging by their appearance does not qualify or dis-qualify that lead. Confidential information like that can only be verified with documentation at appointments. Know your area and the zips where your target prospects live.

• Typically your response will last several days since Bulk mail is delivered in stages (not all at once).

• RME cannot be responsible for overall results. Get our feedback to help ensure your success.

• RME is not responsible for advisors’ crossover mailings or overlapping in an area.

• The amount of appointments is in direct proportion to your presentation.
